Under the general supervision of the Director of Development, the Development Associate is responsible for coordination and stewardship in support of all Marcus Center fundraising platforms, as well as assisting the Sales & Marketing Department with administrative and organizational duties including, but not limited to donor communication, grant work and event management.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Administrative/Data Management

  • Provide all daily gift entries for development initiatives and all Center contributions (including, but not limited to, annual and capital campaigns, in-kind donations, sponsorships, grants and special events) using donor software and Archtics to enter gifts, pledges and pledge payments for all Center contributions 
  • Prepare timely acknowledgements (within two business days) for all Center contributions including tax receipts 
  • Monitor and maintain records of renewal notices and pledge reminders Reconcile daily entries to deposit slips, credit card transactions and electronic transactions 
  • Maintain accurate, complete and up-to-date donor records in donor software and/or Archtics 
  • Update donor database with appropriate actions 
  • Process and request corporate matching gifts 
  • Prepare and distribute various reports and dashboards as directed 
  • Annual audit reports as requested by finance 

Cultivation and Solicitation

  • Provide all necessary staff support for fundraising initiatives 
  • Prepare materials for solicitation calls including the research and creation of donor profiles 
  • Monitor inventory of solicitation and development materials 
  • Prepare and update communications including correspondence and materials 
  • Coordination, writing and execution of website updates related to development, including internal and external sites 
  • Solicitation of select individuals and businesses 

Prospecting

  • Lead prospect research, tracking and reporting of potential donors, grant opportunities and sponsors using donor software and LiveAnalytics 
  • Create and organize prospect solicitation as directed (i.e., mailings, email, etc.) 

Stewardship

  • Coordinate schedules and revisions for the campaign recognition updates 
  • Follow up with donors to schedule meetings, share event invitations and maintain engagement with the Center year-round 
  • Execute placement of donor signage, graphics and recognition throughout the Center 

Grants

  • Oversee management of the Center’s grant initiatives. 
  • Research, outline, assemble and transmit grant applications to foundations, corporations, agencies and government funding sources to support budgeted programs, involving Center staff and external partners as appropriate 
  • Maintain schedule of grant deadlines and reporting requirements and communicate this information with appropriate departments 
  • Create timelines and appointments for Center staff to make sure grant program is executed properly 
  • Notify appropriate staff of grant awards Ensure proper recognition and reporting according to grant requirements 
  • Communicate any changes throughout the funding year to the grantors Monitor inventory of past requests and grant materials 

OTHER DUTIES:

  • Participate in cultivation event rotation – working occasional nights and weekends 
  • Assist in development functions, special events and fundraisers 
  • Complete other projects and duties as assigned

Knowledge, Skills and Abilities:

  • Demonstrated attention to detail
  • Advanced oral and written communication skills
  • Outstanding organization skills, self-starter Knowledge of donor software and/or Archtics preferred Proficiency with Microsoft Outlook, Word, Excel and PowerPoint

Education and Experience:

  • Bachelor’s degree in arts administration or related field preferred, plus two years nonprofit experience

Contact Responsibilities:

  • Will be required to communicate to the public, Board members, donors, customers, business contacts, vendors, elected officials and management on matters of business, schedules and meetings. Some of the information is highly confidential. Requires the use of tact and good judgment.

Supervision:

  • Must be able to function with little or no supervision
