This position plays a key role within the Recruitment Strategy Team in the Division of Continuing Studies (DCS) Educational Innovation Professional Development (EIPD) team. The team manages the student recruitment strategy and recruitment process from point-of-inquiry through enrollment for the University of Wisconsin-Madison Advance Your Career (AYC) flexible and online credit programs (https://advanceyourcareer.wisc.edu/). This role demands a high level of collaboration, coordination and organization, effective communication skills particularly with diverse populations, skills in problem solving, and demonstrated ability to succeed in dynamic, fast-paced team environments. The key responsibilities for this role include: creating digital recruitment assets such as emails, landing pages, forms, and event registrations, optimizing email campaigns, and designing and editing digital content.

Principal duties:

Outbound Digital Recruitment (80%):

  • Create targeted digital email recruitment campaigns and assets (landing pages, forms, event registrations) using third-party tools (e.g., Eloqua, WordPress, and Gravity Forms) and HTML/CSS
  • Optimize email campaigns to achieve program-specific recruitment objectives
  • Edits, refines, and proofreads content of e-recruitment materials to ensure accuracy, consistency, tone, spelling, grammar, and audience focus
  • Creating and implementing a quality assurance plan to ensure all emails are being delivered to customer's inbox, email metrics are continuously improving, and leads are converting to be ready for sales
  • Champion the use and maintenance of our marketing automation platform, maintaining a strong technical understanding of the platform's capabilities and stay up to date on new features
  • Evaluates emerging digital trends, tools, and techniques, incorporating new ideas into the digital recruitment plans
  • Work to identify, develop, implement and share best practices for digital recruitment
  • Collaborate with the DCS Integrated Marketing and Communications (IMC) Eloqua Manager to design and map multi-step email campaigns
  • Collaborate with the DCS Integrated Marketing and Communications (IMC) digital production team on design and creation of shared templates for emails, landing pages, and forms
  • Participate in project ideation to establish the look and feel for digital projects with regard for brand, audience, and the user experience
  • Create high-quality web graphics, banners, logos
  • Update and maintain web content, including text, graphics, menus, indexes and directories- Evaluate and refine user interface

Administrative and Other (20%)

  • Support the work of the recruitment strategy unit overall, contributing as needed to initiatives and events for AYC and DCS
  • Serve as an engaged member of the Recruitment Strategy Team in the Division of Continuing Studies (DCS) Educational Innovation Professional Development (EIPD) team, participate in office meetings and staff development opportunities, and contribute to initiatives/programs associated with the campus, DCS, and EIPD
  • Participate in campus-wide communication, web development, and marketing teams, developing collegial relationships with other offices and contributing digital expertise to campus-wide efforts
  • Engage in professional development activities, including but not limited to, memberships in professional organizations, attendance at conferences and workshops, and participation in training sessions
  • Work to support and enhance the diversity and climate of the Division of Continuing Studies
  • Perform administrative responsibilities and supervise projects as assigned
  • Staffs and supports special events, including some travel
  • Other duties as assigned
  • Bachelor's degree required, preferably in digital media, marketing, advertising, communication, graphic design, journalism, or a related field.
  • At least three years of professional experience in a digital marketing/recruitment role including, but not limited to responsibilities for email marketing/recruitment campaigns, e-marketing/e-recruitment strategy and web design
  • Experience working with the following applications and software: HTML/CSS, WordPress, Gravity Forms, Microsoft Applications
  • Experience working with the following applications and software preferred: Project management software (preferably WorkZone), Marketing Automation tools (preferably Eloqua), CRM tools
  • Proven success meeting deadlines and goals while managing multiple projects
  • Experience communicating with various project stakeholders
  • Experience working autonomously and on a team
