This position is primarily responsible for contributing to a proposal team by writing responses to Requests for Proposal (RFPs) under strict deadlines and creating additional ad hoc writing pieces in support of business development and marketing efforts. Coordinates projects with adherence to detailed client specifications, with turnaround times in a typical range of one day to three weeks. Interacts with sales and relationship management staff to integrate pricing and sales positioning into formal proposal documents to customize proposals to the agreed-upon sales strategy. Supports the ongoing review, development, and maintenance of proposal content utilizing best practices and style guidelines. Accomplishes results through effective time management and prioritization of special projects as assigned by manager and proposal coordinator.

Essential Functions:

  • Write, edit, organize, produce, and package responses to Requests for Proposals in compliance with detailed client requirements on stringent deadlines.
  • Proofread proposals for content, grammar, style, and formatting. Utilize Associated Press Stylebook and in-house content guidelines for proposal documents as reference guides.
  • Maintain content in Qvidian proposal management database; coordinate periodic review.
  • Maintain knowledge of all Investment Services products and services. Coordinate with subject matter experts in various business lines to answer specific client questions and record new information in proposals accurately.
  • Provide ongoing writing support to sales and relationship management staff.
  • Ensure quality assurance with every proposal by adhering to project management timeline and ensure every proposal follows required review cycles.
  • Update and maintain infographics, biographies, organizational charts and sales presentations.
  • Order proposal and office supplies for local marketing team.

  • Excellent organizational abilities, utilizing personal skills, team members, and material resources.
  • Ability to manage routine administrative tasks.
  • Proficient in Microsoft Office including Word, Excel, and PowerPoint; Adobe InDesign and Illustrator.
  • Ability to communicate effectively on unfamiliar topics to elicit technical and program information necessary to answer client questions.

Experience:

  • Bachelor’s degree in English, Journalism, Communications, Marketing or related field preferred.
  • Two to three years of relevant business writing experience in sales support, proposal generation, marketing or communications.
  • Possesses technical ability to adapt to the proposal tools and software used by the team.
