The ideal candidate will provide meeting management and support for the company as well as the national non-profit organization, which the company manages. Primary responsibilities include managing all aspects of one large annual conference (400+ attendees) and several ad hoc meetings. Additionally, the position requires project management on multiple sales, marketing and administrative efforts unrelated to event planning. The Event Planner will be the primary liaison with our host hotels and is responsible for managing and planning meetings, onsite execution for the annual conference, customer service to our support organizations, and preparing communication items in tandem with the marketing and design teams.

Responsibilities will include but are not limited to:

  • All areas of meeting management and support including RFP generation, venue sourcing, attendee management, logistics, audio/visual requirements and food and beverage selections.
  • Project management on events and meetings, but also a wide variety of marketing, sales and fulfillment projects.
  • Coordinate travel; including air, hotel, and ground transportation for staff and executive board.
  • Manage room block, meeting space set up, audio/visual and food & beverage for all meetings and events.
  • Work with marketing and design teams to help create overall email, print and social media campaign for annual conference.
  • Control and manage budget for assigned events.
  • Coordinate all liaison aspects of annual conference with hotel, staff, vendors, speakers, attendees and guests.
  • Coordinate logistics for the exhibit hall prior to the annual conference as well as serve as the onsite exhibit hall manager.
  • Maintain and cultivate existing relationships with hotels, CVBs, DMCs and other meetings industry related vendors.
  • Other duties as needed.

Requirements:

  • At least 5 years in an events, marketing and/or project management role that includes at least 3 years of event planning experience.
  • 3+ years of hotel or convention services experience or similar preferred.
  • Exceptional communication as well as analytical, project management and planning skills necessary.
  • Excellent verbal and written communication skills and a high level of customer service required.
  • Ability to balance multiple priorities, work effectively in a team environment and meet tight deadlines.
  • Certified Meeting Professional (CMP) designation preferred.
