This communications professional will be responsible for the planning and execution of tactical projects from a project management perspective. This role’s success is built upon the ability to grow an understanding of the business, product and process, as well as hit established timelines. Extreme attention to detail and organizational skills are a must.

RESPONSIBILITIES:

  • Manage the workflow of projects through project management system. 
  • Manage projects in the review and approval system, ZINC, and ensure that all content is taken through proper Regulatory, Quality and Legal reviews in compliance with the Ad & Promo Materials Review and Approval Standard Operating Procedure (SOP) 87027 Rev. E. 
  • Oversee the daily management of our CRM online fulfillment platform to ensure all Global and US materials are current, compliant and accessible to our various internal teams. 
  • Review, manage and implement reporting to ensure cost effective and time efficient solutions for global printing and fulfillment needs. 
  • Manage “promo” demo requests for the global team - initiate orders with vendors, support teams with invoicing needs and ensure inventory is managed appropriate via our online fulfillment management system. 
  • Develop timelines and monitor schedules in project management system, update project statuses and effectively communicate to team. 
  • Proofread to ensure all edits and comments are addressed and completed correctly on designed material. 
  • Perform administrative functions of the department: processing invoices, meeting/event planning, creating or modifying business documents, etc. (Includes management of the Master Collateral List, Master Project Costs etc.). 
  • Work with OUS regions to improve transparency on projects and keep global team apprised of local development efforts that may be leveraged in other global regions. 
  • Maintain appropriate compliance usage and adequate inventory for all print and digital collateral and materials to support internal and external customers/patients.
  • Liaison between appropriate team functions, including Marketing Communications, Marketing, Events and Digital, to ensure that projects are kept on schedule and that project statuses are updated and communicated to project team members on a regular basis. 
  • Responsible for final dissemination of assets, including print fulfillment, print-on-demand (POD), Loop, Salesforce and other channels as needed. 
  • Maintains positive and cooperative communications and collaboration with all levels of employees, customers, contractors, and vendors. 
  • Comply with U.S. Food and Drug Administration (FDA) regulations, other regulatory requirements, Company policies, operating procedures, processes, and task assignments.

EXPERIENCE:

  • Bachelor’s degree in Communications, Journalism, Advertising, Marketing, Public Relations, English or equivalent is preferred. 
  • 7+ years project management experience, with 1- 3 years working in a marketing communications environment ideally. 
  • Medical Device Industry or another regulated industry experience is a must. 
  • Excellent use of MS Office including PowerPoint and Excel software. 
  • Ability to manage multiple projects in a fast-paced environment. 
  • Ability to work in a highly matrixed and geographically diverse business environment. 
  • Ability to work within a team and as an individual contributor in a fast-paced, changing environment. 
  • Ability to leverage and/or engage others to accomplish projects. 
  • Strong verbal and written communications with ability to effectively communicate at multiple levels in the organization. 
  • Multitasks, prioritizes and meets deadlines in timely manner. 
  • Strong organizational and follow-up skills, as well as attention to detail.
