Responsible for planning, coordinating, and overseeing assigned conferences, seminars, on-demand, online, and breakfast programs including registrations, onsites, member support, facility and instructor coordination and negotiating favorable contracts. Proofing and editing all education communications. Maintain and build new relationships with vendors. Responsible for accurately entering transactions, maintaining educational programs in database, coding and tracking seminar expenses, training center rentals, and other duties.

Responsibilities:

  • Researches, develops and implements processes to select appropriate courses, vendors, and speakers to present all educational programs.
  • Ensures the development of successful programs designed to increase customers' competencies and provides positive educational and networking experiences.
  • Evaluates and negotiates favorable contracts with vendors and suppliers for facility, catering, audiovisual, hotel and other needs.
  • Organizes and coordinates in-person and online programs, speakers, facility, catering, contracts, onsites, signage for conferences and assigned seminar and breakfast programs.
  • Accurately completes and updates speaker checklists, follows up on program content and materials.
  • Gathers and organizes copy for content; brainstorms marketing concepts.
  • Serve as key onsite staff to assist, prepare and oversee success of events.
  • Researches new online vendors; reaches out to other state CPA societies.
  • Maintains and develops new relationships with vendors to provide commission based programs.
  • Accurately processes all registrations and transactions. Tracks program expenses. Updates spreadsheets.
  • Enters new programs and fees in database system. Responsible for maintaining current and accurate information and format in database and website. Maintains event information in organized, accurate and detailed manner.
  • Gathers and proofs content for annual education programs publication for accuracy and apply AP and/or marketing style.
  • Researches and identifies growth opportunities, such as enhancing programs, adding programs, exploring new formats, etc.
  • Develops a network and looks for possibility of joint programs (and reaches out to other groups) with other associations, chambers of commerce, etc.
  • Research, recommend and implement current, emerging, and future technologies for production and sale of programs.
  • Researches and identifies growth opportunities, such as enhancing established programs, adding programs, exploring new formats, etc.
  • Backs up main phone line and mail.

Requirements:

  • Must possess a minimum of a Bachelor's Degree in marketing, communication, business, meeting or event planning, 
  • Must possess at least 3 years of previous experience in business, meeting and event planning, program selection, marketing, or equivalent skills and abilities;
  • Exhibits accounting and financial skills to include budgeting and analysis;
  • Must exhibit ability to professionally negotiate contracts with outside vendors, possess exceptional customer service skills;
  • Computer abilities including Microsoft Word, Excel, Outlook, PowerPoint, Adobe Pro, and data entry.
  • Exhibits exceptional ability to communicate effectively both orally as well as in written format, including preparing, proofing, and editing written copy for brochures, website, and marketing materials;
  • High level of organization skills, accuracy, attention to detail and ability to multitask;
  • Must possess a valid driver’s license.
