The Project Manager works with the account service team to manage all projects for assigned clients. Involved from new business meetings and pitches through project completion, the project manager is responsible for assisting in proposals, initiating project plans, then guiding the project through development and creative. An effective problem-solver on a day-to-day basis, the project manager must be adept at anticipating problems and recognizing opportunities. The project manager requires, superior project management skills. S/he must be an emotionally intelligent team player and an efficient organizer. This person also demonstrates excellent verbal and written communications skills. The project manager is a creative problem solver, exhibiting initiative and a take-charge attitude.

The project manager will work in our sales and support department and report to the Director of Operations. 

To ensure that we are meeting the needs of our clients, the project manager will work hand-in-hand with account managers, department directors and team to seek and implement the best solutions. This position is a perfect fit for you if you are able to:

  • Act as one of the primary client contact for assigned projects, developing relationships with clients and working closely with them to learn their business and communication needs
  • Work closely with all agency department staff to develop and implement strategic project plans 
  • Have a thorough understanding of the planning, creative and production processes 
  • Coordinate project timing and budgets with all relevant agency personnel 
  • Proactively gather the necessary information to plan and implement each client project 
  • Provide timely issuance of all documentation: proposals, project charters, creative briefs, estimates, timelines, meeting summaries, and status and budget reports 
  • Manage time and financial resources to ensure client projects are on time and on budget 
  • Handle monthly billing and reconciliation of all projects for assigned clients; help maintain ongoing accounting status reports for clients 
  • Maintain working knowledge of pertinent software and peripherals needed to complete work 
  • Provide clients and teams with budget updates 
  • Prepare production estimates based on briefings from account managers and meetings with production artists 
  • Proofread copy, artwork, agency and vendor proofs as requested; see that all work completes the standard agency approval process before being reviewed by clients or turned over to suppliers 
  • Make sure all media and projects proceed according to plan and deadlines, drawing attention of account executives to potential problems before they occur 
  • Initiate proposals and project plans, then guide the project through development and creative 
  • Conduct regular production meetings with account manager and creative production personnel
  • Bachelor’s degree in marketing, business administration, or related field 
  • 2-5 years of project management and/or team management experience 
  • Basic knowledge of project management principles as outlined by the Project Management Institute 
  • Agency experience preferred, but not required 
  • Demonstrates creative problem-solving through successful work in similar environments 
  • Possess high emotional intelligence and interpersonal skills 
  • Ability to manage time and priorities to work efficiently and effortlessly 
  • Highly organized and deadline driven 
  • Effective verbal and written communicator utilizing various digital platforms 
  • Passion for marketing and advertising 
  • Ability to work in a multi-task, multi-priority, high volume, and fast-paced environment with limited supervision and direction 
  • Conscientious attention to detail 
  • Pleasant personality, professional appearance and tact 
  • Ability to work effectively on a team with a positive attitude and avoid gossip
