As the Proposal Coordinator/Writer you’ll be an integral part of Ruekert & Mielke’s (R/M) Marketing Team, working with technical professionals to find and win new business to directly impact the growth of our 100% employee-owned company. Through coordinating with our subject matter experts, you’ll utilize your keen attention to detail, exceptional writing skills, and strategic thinking to craft concise and persuasive proposals that make R/M stand apart from our competition. As the project manager of the proposal process, you’ll use your positive, can-do attitude to lead the team to achieve deadlines and meet request for proposal (RFP) requirements.

Additionally, you’ll utilize your research and analytical skills to assist with various marketing and sales strategies including finding leads and RFPs to pursue and obtaining/maintaining important client information. Process-driven and highly organized, you’ll enjoy the responsibility of implementing ways to manage and update important marketing-related documents.

Duties for this position include but are not limited to:

Proposal Coordination

  • Responsible for coordinating, writing, editing, producing, and packaging our responses to RFPs(Requests for Proposals) in compliance with detailed client requirements and under strict deadlines 
  • Coordinate a thorough quality check of the final proposal with the project manager and Marketing Team 
  • Establish milestones and due dates for the cross-functional proposal team and develop a system to help all parties meet said milestones 

Writing & Editing

  • Interview project managers and subject experts to create compelling and cohesive responses to RFPs and other communication documents 
  • Design and create graphics, charts, and diagrams to assist in the visual appeal of proposals 
  • Assist the Marketing Team with proofing and quality control of internal and external communications 
  • Edit and proofread all RFP materials for purpose, clarity, completeness, grammar, etc. 

Research & Reporting

  • Use a strategic mindset to research and obtain customer-specific information 
  • Research and identify proposal opportunities and present said opportunities to sales and marketing leadership 
  • Research and organize source information from subject experts to write and update technical information needed for proposals 
  • Provide weekly status reports to marketing and sales leadership 

Organization

  • Assist in the implementation of new organization technology and databases 
  • Assist the Marketing Team in maintaining team files 
  • Work with professional staff to maintain database of updated staff resumes 
  • Maintain an accurate and up-to-date contact database and utilize analytical skills to create defined contact segments

The ideal candidate for this position will possess the following education, experience and/or abilities:

  • Experience in the architecture/engineering/construction (A/E/C) industry or similar position is preferred 
  • Bachelor’s degree (or higher) in Journalism, Marketing, Communications, English or related field 
  • Minimum of 3+ years of experience in writing/communications/project management in a business or marketing environment 
  • Able to manage complex proposals against strict deadlines while maintaining a positive, enthusiastic attitude 
  • Exceptional writing, editing, and proofreading skills 
  • Ability to comprehend and break down complex ideas into easily understood concepts while telling a concise and compelling story 
  • Detail-oriented, with high standards for quality, relevance, and consistency of content Can successfully manage simultaneous projects and due dates to meet project deadlines 
  • Experience with Adobe InDesign, Microsoft Word, Excel, and PowerPoint 
  • Ability to develop relationships and communicate in person with all levels of business management 
  • Ability to study and understand our target market, including what information is important to them and what drives them to make decisions 
  • Self-starter, with proven ability to work in a fast-paced, deadline-driven environment both autonomously and collaboratively
